Privacy Policy
We collect only what we need to provide compliance services to your trucking business, we never sell your information, and we protect sensitive details like logins and tax ID numbers with encryption.
1. Who we are
This policy covers rhythmlogisticsgroup.com, the RLG carrier dashboard and the emails we send. They are run by Rhythm Logistics Group LLC ("RLG", "we"), 2890 GA Hwy 212 SW, Suite A-234, Conyers, GA 30094. Questions: info@rhythmlogisticsgroup.com.
2. Information we collect
Information you give us
- Contact details: name, email address, phone number and mailing address.
- Business details: company name, USDOT and MC numbers, EIN, truck and driver information, and the details needed for filings such as IRP, IFTA, UCR, Form 2290 and permits.
- Documents you upload or email to us: such as certificates of insurance, cab cards, mileage and fuel reports, driver files and medical cards.
- Account logins you ask us to use to file on your behalf (for example state or FMCSA portals). These are stored encrypted and are visible only to RLG staff who need them.
- Tax ID numbers on a Power of Attorney. An SSN or FEIN entered for a Power of Attorney is stored encrypted only until the form is signed, then it is erased and kept only on the signed form.
- Messages: chats, contact form requests and emails you send us.
- Payments: processed by Stripe. We see the amount, date and the last four digits of your card. We never see or store your full card number.
Information collected automatically
- Site visits: which pages are viewed, where the visit came from (for example Google or one of our emails), whether it was a phone or a computer, and your device's time zone. This uses no cookies and does not record your IP address or anything that identifies you.
- Email link clicks: when you click a link in one of our marketing emails, we record which email and link it was, so we know which emails are useful.
- Sign-in and security records for the carrier and admin dashboards.
Public information
We use public data from the Federal Motor Carrier Safety Administration (FMCSA), such as company name, USDOT and MC numbers, authority status and the business email listed with FMCSA, to offer our services to new carriers. You can unsubscribe from these emails at any time.
3. How we use it
- To provide the services you order and to prepare and submit filings for you.
- To send order confirmations, invoices, document requests and reminders about deadlines for services you have with us.
- To send marketing emails, only to people who are subscribed or, for new carriers, one introduction email based on public FMCSA information. Every marketing email has an Unsubscribe link.
- To answer your chats and messages.
- To keep the site secure and to understand which pages and emails are useful.
4. Who we share it with
We do not sell or rent your information. We share it only:
- With government agencies and organizations you ask us to file with, such as FMCSA, the UCR Plan, state DOT and revenue departments, the IRS and process agents.
- With the service providers that run our systems: Google (website hosting, database, file storage and email), Stripe (payments) and GitHub (website code). They may use it only to provide their service to us.
- When the law requires it, or to protect the rights, safety and property of our clients, our business or others.
5. Emails and your choices
- Unsubscribe from marketing emails with the link at the bottom of any of them. It takes effect right away for new emails; one already on its way may still arrive.
- You will still receive emails about services you have ordered or pay for, such as confirmations, invoices and filing updates.
- Ask us to see, correct or delete your information by emailing us. We may need to keep some records, such as filings, invoices and signed forms, for legal and tax reasons.
6. How we protect it
Your information is stored on Google Cloud with access limited to RLG staff who need it. Logins and tax ID numbers are encrypted, dashboards require sign-in and sign you out after a period of inactivity, and links to private documents expire. No system is perfectly secure, and we cannot guarantee absolute security, including for information sent to us by email. We work to protect your information and will tell you if a breach affects you, as the law requires.
7. How long we keep it
We keep client records for as long as you are a client and afterward for as long as needed for legal, tax and filing purposes. Information about potential carriers who never become clients is kept only as long as it is useful for our services, and unsubscribe requests are kept so we never email you again.
8. Your responsibilities
Give us only information you have the right to share, including information about your drivers and owners, and tell them that you share it with us for compliance services. Keep your dashboard login private, and tell us right away if you think someone else has used it.
9. Links to other sites
Our site and emails link to other sites, such as FMCSA, state agencies and Stripe. Their privacy practices are their own, and this policy does not cover them.
10. Your state's privacy rights
Depending on where you live, you may have rights to know, correct or delete personal information we hold about you. Email us to make a request. We will confirm your identity before acting and respond as the law requires. We do not sell or share personal information for cross-context advertising, and we do not use it for automated decisions with legal effects.
11. Children
Our services are for businesses and are not directed to anyone under 18. We do not knowingly collect information from children.
12. Changes to this policy
We may update this policy. The date at the top shows the latest version, and important changes will be announced on this page or by email.
13. Contact
